Job Description

Job Summary:

The Front Desk Experience Coordinator is responsible for delivering exceptional customer service and administrative support to employees, guests, and visitors within a corporate or commercial environment. This role serves as the first point of contact, ensuring a welcoming and professional experience, while also supporting various front desk, office coordination, and hospitality-related functions. Responsibilities include lobby and reception oversight, office wayfinding, visitor tracking and reporting, meeting support, and coordination of facility services.

Key Responsibilities:

  • Greet all building occupants and visitors with a professional, friendly, and welcoming demeanor.
  • Answer phones, respond to inquiries, and direct calls with excellent communication and professionalism.
  • Maintain accurate records of service requests, guest logs, and visitor volume reports.
  • Coordinate and confirm recreational, dining, travel, or business activities as needed.
  • Manage the appearance and cleanliness of the lobby and common areas in collaboration with janitorial teams.
  • Provide administrative support such as preparing meeting materials, booking conference rooms, and assisting with on-site events.
  • Assist with mailroom, shipping/receiving, and package handling duties.
  • Serve as a liaison between internal teams (facilities, maintenance, security) and occupants.
  • Follow safety, security, and emergency procedures, making proper notifications when necessary.
  • Respond to service issues and emergencies calmly and efficiently, escalating appropriately.
  • Utilize MS Office Suite and other workplace systems for data entry, documentation, and internal communications.
  • Maintain office supplies and support new hire onboarding through welcome packets or workspace setup.

Required Qualifications:

  • High School Diploma or GED required; additional hospitality or administrative certifications a plus.
  • Minimum 1 year of customer service, front desk, concierge, or related hospitality experience.
  • Proficient with MS Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong verbal and written communication skills; able to interact with diverse personalities.
  • Detail-oriented with excellent organizational and problem-solving abilities.
  • Able to work independently and manage multiple tasks simultaneously.
  • Comfortable engaging with new people and offering assistance proactively.
  • Ability to lift up to 30 lbs and support basic workplace setup duties.
  • Familiarity with safety, emergency, and security protocols is preferred.
