About the role:
As a n Executive Assistant & Office Manag er, you’ll be at the heart of our growing company, managing schedules, coordinating travel, handling office logistics, and assisting with personal tasks.
You’ll also work closely with our Director of Human Resources to help organize employee activities and company lunches. This is a hands-on role for someone who can juggle multiple responsibilities and is eager to get things done.
Locat i on: Pasadena, CA (with occasional work in Santa Monica and travel to Manhattan Beach and Pacific Palisades)
What You’ll Do:
Executive Su pport: Manage calendars, schedule meetings, and coordinate travel for the CEO and President.
Office Mana gement: Oversee day-to-day office operations, ensuring a productive work environment.
HR & Employee En gagement: Assist the Director of Human Resources with employee events, office lunches, and other HR-related tasks.
Personal As sistance: Support executives with occasional personal tasks and errands.
Administrat ive Tasks: Handle emails, expense reports, document preparation, and other administration duties.
What We’re Looking For:
Education: Bachelor’s degree required.
Experience: 2+ years in an executive assistant, office management, or administrative role.
Tech Savvy: Highly familiar with Gmail, Google Docs, Outlook, and Microsoft Office: experience with DocuS ign is a plus.
Strong Organiza tional Skills: Able to juggle multiple priorities while keeping everything running smoothly.
Proactive Mindset: A self-starter who takes initiative and doesn’t wait for instructions.
Excellen t Communication: Professional, clear, and concise in both verbal and written communication.
