Job Description

Overview:

We are seeking a highly skilled and proactive Payroll Specialist to manage and optimize weekly payroll operations for approximately 2,900 employees. This position requires a seasoned professional who can not only handle high-volume, multi-jurisdictional payroll using UKG Ready, but also help build systems and teams from the ground up in a complex environment with limited in-house state-level payroll knowledge.

Key Responsibilities:

  • Process weekly payroll for 2,900 employees accurately and on time.
  • Utilize UKG Ready to manage payroll functions, create work roles, and optimize workflows.
  • Serve as the high-level administrator and subject matter expert (SME) for payroll systems and compliance.
  • Ensure compliance with multi-state payroll laws, including tax regulations, W-4 interpretation, and state-specific withholdings across New York, New Jersey, Pennsylvania, Massachusetts (Boston), Washington DC, and others.
  • Operate effectively in an environment where the current team lacks expertise in state-level payroll compliance.
  • Lead efforts to build internal payroll capabilities—this includes developing systems, creating documentation, and helping to hire/train a capable payroll team.
  • Navigate complex multi-jurisdictional payroll including interpretation and application of tax laws and regulatory filings.
  • Stay current on legislative changes affecting payroll compliance and implement changes to systems and procedures accordingly.

What We’re Looking For:

  • Demonstrated experience processing high-volume payroll on a weekly basis.
  • Proficiency in UKG Ready (formerly Kronos) and in creating work roles within the system.
  • Deep knowledge of multi-state payroll compliance, particularly across the Northeast and Mid-Atlantic regions.
  • Proven ability to work independently in a lean team environment and act as the go-to expert in payroll compliance.
  • A builder mindset; someone who can assess current gaps, implement scalable solutions, and establish payroll infrastructure where little currently exists.
  • Strong understanding of W-4 forms, tax laws, and how they affect withholdings across various jurisdictions.
  • This role is critical for transforming our payroll operations. We are not looking for someone to simply maintain the current state. We need a leader who will design and build an effective, compliant, and scalable payroll function from scratch.
