Pay rate: $48-$51/hr. DOE

Responsibilities:

Provide accurate and effective administrative support to business partners and coordinate administrative duties with internal and external stakeholders to provide seamless support for the group. Individuals must possess strong, positive, interpersonal skills and have the ability to work with a diverse group, be willing to work in a fast paced environment and be able to handle a large volume of routine work, as well as more challenging projects. The ability to respond to unexpected requests and effectively manage competing priorities while consistently delivering accurate and timely work..

  • Identify and anticipate needs of business partners and prioritize work activities accordingly
  • Proficient in all available tech meeting platforms including in room technology, video conferences, Google Meets, Zoom and global webcasts
  • Schedule and support external candidate interviews and new hire orientation and onboarding
  • Submit facilities, IT and Site Services requests
  • Manage purchase orders, contracts, invoices, payment tracking and vendor maintenance
  • Manage multiple schedules with emphasis on heavy calendaring of complex meetings
  • General office responsibilities include but not limited to: scheduling travel, processing payment and expense reports, maintaining electronic files, ordering food and other supplies for a variety of meetings and events, greeting visitors, ensuring compliance with policies, integrating and facilitating communication with individuals, the team, the department and other functions across the company, and actively participating in administrative team meetings, and projects as requested
    Arrange, coordinate and support meetings, events and activities both on and off-site
    Manage deadlines related to business needs as well as other special projects
    Collaborate with administrative team to support complex/special projects and deadlines

Required Skills:

  • Provide good judgment with sensitive, confidential and complex information,
    Flexibility to take direction from business partners and administrative team on routine tasks and projects
  • Demonstrate autonomy in managing time and prioritize
  • Possess exceptional problem-solving and decision-making abilities
  • Provide excellent customer service support and have prior successful experience with attention to detail
  • Work independently and within teams
  • Have strong follow up skills, and ability to manage multiple projects or unexpected requests simultaneously, while maintaining a pleasant working demeanor

Requirements:

  • 7-10 years of previous administrative experience, strong computer skills utilizing Google Suite (gCal, gMail, gDrive, etc). Excellent written and verbal skills are required.
  • Ability to respond and adjust to requests for information during core business hours Monday through Friday.
  • Proven ability to handle confidential, complex and sensitive information.
  • Ability to stand or sit for at least 6 hours each day.
  • Requires a significant amount of keying and mousing. Ability to accommodate extended periods of computer use to meet business operations.
    Ability to lift up to 15lbs if required.
